PROVISIONAL FINANCIAL STATEMENT: 2020-2021

Regrettably, at the moment an accurate statement regarding the state of play at the31st of August 2021 cannot be made.  This is primarily because our end-of-year bank statement for the end of August that I requested did not arrive.  Also, because of this it is difficult to verify online and internet payments made recently.  Our financial examiner has agreed that in these circumstances the end-of-year bank reconciliation and auditing will have to be delayed until we receive our normal three-monthly bank statement at the end of September.

So, how do I guess that things will be looking at the time of our AGM on the 23rd of September 2021? 

For this financial year I submitted a budget to area projecting income from sources other than Area of £260.00 and expenditure of £860 00 and thereby requesting funding of £600.00.  The requested £600.00 has been received.  No programmes have been printed this year: firstly on account of the COVID lockdown and secondly because the Group committee has voted to halt the printed programme and present all walks and other information on the Group Website.  In the light of this I have not completed a budget for 2021-2022 but agreed to receive the default subsidy, which is dependant of the number of members on a given date and is likely to be in the region of £350.00 to £400.00.

Sources of income over the year were basically nil, lest for the monies sent as payment for the meal at the Orles Barn restaurant at Ross-on-Wye during the 2021 Autumn Break.  This amounts to £960.15.

The main expenditures over the 12 months were: A deposit of £100 to book Orles Barn at Ross-on-Wye for a meal during the 2021 Autumn Break, the purchase of safety gloves to be used on footpath work(£44.95), printing(£30.00), stamps(£151.80), envelopes(£5.00), treasurer’s expenses(£8,92), the booking of Fulford Village Hall for the 2022 Area AGM(£80.00),and the booking of Longton Snooker Club for our 2021 Group AGM(£75.00)

There have been no official social events on account of COVID.

 At the moment then, it is my estimate that we have £2493.33 in the Group account with the Unity Trust Bank.  This will reduce by about £860.15 when the bill is settled at Orles Barn on the day, although this transaction may appear in the 2021-2022 accounts owing to the cash system of bookkeeping.

ADDENDUM

I received, from The Unity Trust Bank, the quarterly statement on the 30th of September 2021.  The year’s accounts have now been reconciled and audited by our Financial Examiner, Mr Richard Davies.

  • The details are:-
  • Receipts = £1685.71
  • Payments = £1605.45
  • Surplus over the 13 months = £80.26
  • Assets at 30 September 2021 = £1564.53

  2. Presentation of audited accounts: Report of Financial Statement 2020-21 by outgoing treasurer JH with the added Addendum.

Matters arising:

AW asked arrangement for next Area AGM village hall booking reimbursement. JH ‘from Area funds’

JH spoke of an unspecified source of money ‘Donation’ received into the Groups account is to be retained.

PS asked PT if he was happy to take on the accounts as presented by JH’, PT affirmed he was. PT asked if we needed all the preceding accounts kept in files JH handed over. Once accounts uploaded to Central office PT will confirm with Central Office to then shred.

Proposed to accept the record of finances as reported. (A. Wheatley, C. Bigley) Motion passed.

 JH expressed his thanks for the Group’s retiring gift.
